For Members, Attenders and Visitors — Version: 2026

Girton Baptist Church (GBC) holds a small amount of personal information to carry out our mission and practical responsibilities. We keep data to the minimum necessary, stored securely, and used only for legitimate church purposes.

What Information We Hold

Members: Name and postal address. Email/telephone only if you choose to provide them.

Gift Aid & Finance: Name, address, Gift Aid declarations, and bank details for expense reimbursement (if provided), as required by HMRC.

Church Meetings: Name and relevant contributions recorded in Members' Meeting minutes.

Safeguarding: Records created under our safeguarding policy, held securely and accessed only by the Designated Safeguarding Lead and Deputy DSL.

Photographs: Where GBC takes or publishes photographs of identifiable individuals, we seek consent beforehand. For children, consent is given by a parent or guardian. Anyone may withdraw consent at any time and we will remove images on request.

Trustees and Officers: We publish the name and contact details (phone and/or email) of our Minister and trustees/officers (e.g. Secretary, Treasurer) on our website, so that members of the public and our congregation have a way to get in touch with the church. This is done with their consent as holders of these public-facing roles, and any of them may ask for their details to be removed or amended at any time.

Beyond this, we do not publish personal data online.

Why We Hold It

  • Maintain an accurate list of church members
  • Communicate about services, events and practical matters
  • Administer Gift Aid and church finances
  • Keep legally required safeguarding and governance records

We do not use your information for marketing or pass it to third parties, except where required by law.

Legal Basis

  • Legitimate interest — membership records and church administration
  • Consent — optional contact details (email/phone); you may withdraw this at any time
  • Legal obligation — Gift Aid, safeguarding and financial records
  • Vital interests — where safeguarding requires it

How We Store It

Data is held on password-protected devices or in locked paper files, accessible only to those who need it for their role (Minister, Secretary, Treasurer, Safeguarding Lead). Data is kept only as long as necessary for church purposes or legal requirements.
